When an executive or a visiting client lands in Orlando or Tampa, the ride from the airport is the first thing they experience, and the person who booked it is the one who hears about it if it goes wrong. This checklist covers what to confirm before you book, what to ask any car service and how to set the trip up so it runs itself.
Before you book: collect the details
- Flight number and airline for every airport pickup, so the pickup can follow delays instead of a fixed time.
- Exact pickup and drop-off. "Downtown" or "the resort" is not enough. Use the hotel name and street address, and the building or entrance for office pickups.
- Passenger count and luggage. Golf bags, presentation equipment and trade show cases change which vehicle you need.
- The traveler's mobile number, so the driver can reach them directly on arrival.
- The full day, not just the first ride. Meetings across town, a client dinner and the ride back are often cheaper and smoother booked together.
What to ask any car service
- Are you permitted and commercially insured? A legitimate provider will say yes without hesitation and can show proof.
- What will the ride cost, all in? Ask for the fare before the ride, and how taxes, gratuity and waiting time are handled.
- How is waiting time charged? This matters for round trips and for meetings that run long.
- How will I get confirmation? You want the driver, the vehicle and the fare in writing before the day.
- Who do I call if plans change? A direct number beats a call center when a flight is diverted.
Orlando and Tampa specifics
- Three airports. Orlando International (MCO), Tampa International (TPA) and Orlando Sanford (SFB) all serve the region. Confirm which one the traveler is actually flying into.
- Distances are bigger than they look. The Disney and Lake Buena Vista resort area is roughly 20 to 25 miles from MCO, and Orlando to Tampa is roughly 70 to 90 miles depending on the start and end points.
- Convention weeks. When the Orange County Convention Center on International Drive is busy, rideshare demand and prices jump. Book show-day rides ahead.
- Evening events. For dinners and venue events, book the return pickup when you book the ride there, or book the car hourly.
Set it up so it runs itself
- Send the traveler the confirmation with the driver's name, the vehicle and the pickup point the day before.
- Put the provider's number in the traveler's calendar invite.
- For multi-day trips, book every ride in one request so nothing gets missed.
